Information related to Machine Readable Passport: fee, form registration and collection procedure:

Renewal of Existing Passport:

1. To fill up the MRP application, the computer should have pdf and ADB acrobat software

2. Visit the website of Department of Passport of Nepal at http://nepalpassport.gov.np/mrp/  and download the MRP new application form (2 copies), fill up and print the forms. (While printing, select ‘none’ option in the page scaling option in print menu for exact size).

3. 4 MRP size photographs (please note that the exact size required for MRP is 35×45 mm or 3.5×4.5 cm, light white background as prescribed in the MRP Application Requirement or prescribed in the website

4. Passport Original and copy of the photo page.

5. Citizenship Certificate (Original) and both side copy of it.

6. Fee: Rand 1,600.00

7. A brief application outlining the need for a new passport (why a new passport is required e.g. expiry/damage.

In case of a lost Passport:

1.  Application  form (2 copies). Please download the form from the website of Department of Passport of Nepal at http://nepalpassport.gov.np/mrp/ fill up and print the form. While printing, please select ‘none’ option on the page scaling in print menu for exact size.

2. 4 MRP size photographs (please note that the exact size required for MRP is 35×45 mm or 3.5×4.5 cm, light white background as prescribed in the MRP Application Requirement or prescribed in the website

3. Police Report in English language clearly mentioning the lost passport number and name of the bearer.

4. Citizenship Certificate (Original) and both side copy of it.

5. Fee: Rand 3,200.00

6. General application stating the need of new passport (how and where the passport was lost.)

Child applying for the passport for the first time:

1. Application form (2 copies). Please download the form from the website of Department of Passport of Nepal at http://nepalpassport.gov.np/mrp/ fill up and print the form. While printing, please select ‘none’ option on the page scaling in print menu for exact size.

2. A joint application from parents

4. Minor Identity Card issued by the concerned District Administration Office of Nepal and/or Birth Certificate issued by appropriate Local Registrar’s Office in Nepal

5. Marriage Certificate of parents issued by appropriate Local Registrar’s Office in Nepal

6. Copies of the passports of parents

7. Citizen Certificates of parents (Original) and copies

8. Fee: Rand: 1,600.00

Adult applying for the passport for the first time prior to taking a Nepalese Citizenship Certificate:

If a Nepali, from the parents of Nepalese nationality, who travelled abroad as a minor and reached the age of 16 years while still staying abroad and unable to take the Nepalese citizenship certificate due to practical reasons, applies at the Embassy for the MRP, for the first one time only the Embassy may accept application and issue MRP having the validity of two (2) years only. For this the following documents must be submitted with the application forms:

1. Application form (2 copies). Please download the form from the website of Department of Passport of Nepal at http://nepalpassport.gov.np/mrp/ fill up and print the form. While printing, please select ‘none’ option on the page scaling in print menu for exact size.

2. A joint application from parents

4. Minor Identity Card issued by the concerned District Administration Office of Nepal and/or Birth Certificate issued by appropriate Local Registrar’s Office in Nepal

5. Passport (Original) and copy of it

6. Copies of the passports of parents

7. Citizen Certificates of parents (Original) and copies

8. Fee: Rand: 1,600.00

Child applying for MRP and having no Minor Identity Card/Birth Certificate issued by concerned office in Nepal:

In case of a child born abroad from the parents of Nepalese nationality, and having no documents stating his/her identity like Birth Certificate and or Minor Identity Card issued by the appropriate office of the Government of Nepal, the parents must first register the birth of the child at the Embassy in order to be eligible for MRP application. Upon verification of the information, MRP issued to the applicant under this provision will remain valid only for two years. And in order to get the Passport valid for 10 years, such applicants must compulsorily take Nepalese Citizenship Certificate from concerned District Administration Office of Nepal within the two-year period after the issuance of the MRP valid for 2 years.

Methods of Payment:

1. Fee may be paid in cash by the applicants in South Africa and may be transferred through the MoneyGram or Western Union Money transfer services payable to the name of Embassy, Pretoria. Prior to sending/transferring the fee, applicant is strictly advised to contact the Embassy in order to ensure that the method of payment is still valid:

2. Please enclose the original receipt of the payment with your application.

Application and Delivery Options:

1. Applicants from around the adjoining provinces of Gauteng province of South Africa should be submitted at and collected from the Embassy in person. And applicants from remote provinces and cities in South Africa may forward their applications by post to the Embassy.

2. Applicants living in other countries with whom the Embassy is accredited to can send applications and original documents by post or courier services. If the applicant wishes to receive the passport by post or courier service, s/he should arrange for the postal service by advance payment and self-addressed return envelope should be provided with the application. The fee paid for the MRP does not include the charges for postal/delivery/courier services and the Embassy does not take the responsibility of undelivered posts prearranged by the applicant. Applicant needs to ensure with the courier service that the applications are submitted at the front desk of the Embassy and passports are collected from the same desk and the Embassy will not be responsible for such charges.

3. In cases where applicable, the Embassy is not liable for any damage or loss of passport(s) or the documents in the post and non-delivery of them due to inaccurate/incomplete address or non-payment etc.

Please note:

1. In order to ensure that forms and details are correctly filled in, appropriate photos are provided and original documents are attached, please check the website for more information.

2. Pay special attention to the application form size and quality, size and specifications for MRP photograph

3. Please do not fold or bend the forms and photos (in case they are found bent or folded, they will be rejected)

4. Generally, if everything is in order and according to the specifications and instructions, it may take 3-4 months to process passport application forms, printing and delivery.

5. Delay in passport delivery usually results from error in forms, unfit photographs and insufficient documents from the applicants.
